Inviting New Users

The portal uses invitation-only registration. Builders and owners do not self-register with full access — they submit a Request Access form on the public portal login page, and the ARB reviews and approves each one before a login is created.

  1. Open arb.enhoa.com, enter the ARB admin password, and go to the Access Requests tab
  2. Review the new request (Homeowner or Builder, with their contact details and notes)
  3. Click Approve & send login

This creates their Supabase auth account, pre-fills their portal_user_profiles row from the request, and emails them an invite link to set their password. Once they accept it and complete the one-time profile setup screen, they appear in the Portal Users tab.

Invite links expire after 24 hours. If a user missed it, go to Supabase → Authentication → Users, find their row, and choose Resend Invite — the Access Requests tab itself doesn't have a resend button.

A builder or owner can also be invited without a prior request — for example, when the ARB office already has their info from a phone call. In that case, create the login directly from Supabase → Authentication → Users → Invite User, then have them complete the profile setup screen on first login (or pre-fill it yourself by adding a row to portal_user_profiles).

The ARB Admin Panel

The admin is accessed at arb.enhoa.com (the main page, before portal login) and is password-protected separately from the portal.

Portal Users Tab

Shows every builder and owner who has registered and completed portal setup.

Builders Tab

The master list of all approved builders for Eagles Nest — maintained separately from portal accounts.

Nav Bar Layout

The top nav bar has standalone tabs plus three alphabetized dropdown menus:

Tab / MenuPurpose
MeetingsARB meeting calendar
Submit RequestManual intake form — for requests phoned or mailed in rather than submitted through the portal
DashboardFull searchable list of all manually-entered ARB requests, with review-status chips and site-visit/aging badges
Documents ▾ARB Docs (submitted attachments by section) · Guidelines (the live Guidelines Workspace editor) · Sample Forms (blank fillable copies of the 10 builder-portal forms, for staff testing/printing)
Maps ▾Community GIS (interactive ArcGIS map) · Community Map (the lot map PDF, pan/zoom/search)
Users ▾Builders (the master builder directory) · Portal Users (everyone who's completed portal registration)
Access RequestsPending Request Access submissions — Approve & send login, or dismiss
Final InspectionsBuilder-proposed inspection dates awaiting ARB confirmation (red badge shows the pending count)
Site VisitsSite visit log across all requests

Manual requests submitted through Submit Request can be opened from the Dashboard tab to review the 10-section document checklist, mark each section Complete/Incomplete/N/A, and send a review email to the builder. Portal-submitted projects (from portal_projects) are reviewed separately and don't yet have the same reviewer-chips UI — this is a known gap, noted in the codebase as a follow-up once portal submissions become the primary intake path.

Homeowner self-submitted small projects (paint, tree removal, etc., submitted from the owner's portal dashboard) also land in the Dashboard queue automatically, tagged as owner submissions rather than builder construction projects.

Appendix A — Project Application

Appendix B — Construction Agreement

Appendix C — Construction Regulations

The Signing Flow — Appendix A, B & C

  1. You (the builder) fill out the form and click Save
  2. Once it's ready for the owner, click the ✉ Notify Owner button next to that document on your project page and confirm — this automatically emails the owner that a document is ready for their signature (or, if they haven't registered for the portal yet, emails them a registration reminder instead)
  3. The owner logs into their portal account at arb.enhoa.com/portal
  4. The owner opens the project → clicks View on the relevant appendix
  5. The owner clicks their signature box, draws their signature, and clicks Apply Signature — saves automatically
  6. You then log back in and draw your contractor signature
Signature boxes are role-restricted. Owners can only sign the owner line; you can only sign the contractor line.
The Notify Owner button appears next to any Appendix A/B/C document that's been saved and isn't fully signed yet — it asks you to confirm before it emails the owner, so double-check the form is actually ready first.

Scheduling a Final Inspection

Once construction is ready, scroll to the bottom of the project page to the Schedule Final Inspection card. The builder can propose it any time — there's no status requirement.

  1. Builder enters up to 3 date + timeframe options plus optional notes and submits
  2. The ARB office is notified by email (same recipient configured for Access Requests)
  3. The ARB either confirms one of the proposed times (or a different one) from the Final Inspections tab, or marks it Needs New Dates with a note
  4. The builder gets an email either way; if new dates are needed, they resubmit from the same card
The Final Inspections nav button shows a red count badge for pending requests, so it's visible without opening the tab.

Reference Documents & Maps

The Resources menu at the top of every portal page (right of My Profile / Sign Out) gives builders and owners quick access to, in alphabetical order: Appendixes, Covenants, Design Guidelines, Eagles Nest GIS, Eagles Nest Map, Sample Documents, Submission Checklist. "Eagles Nest Map" and "Eagles Nest GIS" are the same sources as the ARB Admin's Maps ▾ dropdown (Community Map / Community GIS).

Your Dashboard

Your dashboard shows a status card for your Eagles Nest project once your builder starts a submission for your lot — Not Yet Submitted, Waiting on Your Signature, Submitted, Under Review, Approved, or Denied, with a link to the full details.

If no project appears yet, your builder hasn't started the submission — contact them directly.

Viewing Your Submission

Click View Submission Details on your project card to see the full document checklist. Each item shows whether it is complete or still pending.

Click View next to any document to open and review its content.

Signing Documents

Your builder will contact you when a document is ready for your signature. You will need to sign three documents:

DocumentYour Role
Appendix A — Project ApplicationAuthorize the application
Appendix B — Construction AgreementAcknowledge the contractor work rules
Appendix C — Construction RegulationsAcknowledge the community construction regulations

To sign a document:

  1. Log in at arb.enhoa.com/portal
  2. Click your project card → click View next to the document
  3. Scroll to the signature section at the bottom of the page
  4. Click the signature box next to your name
  5. Draw your signature using your mouse, trackpad, or finger on a touchscreen
  6. Click Apply Signature — your signature and the date save automatically
Important: Your builder must save the document before you can sign it. If you see an error, contact your builder and ask them to open and save the document first, then try again.

Submitting a Small Project Yourself

For smaller projects you're handling directly — paint, tree removal, a deck repair, landscaping, a driveway, a fence, or exterior lighting — you don't need a builder. From your dashboard, under Projects I'm Submitting Myself, click + New Project, select the project type, add a description and up to 6 photos, and submit. It appears in the ARB's review queue automatically (this is separate from the 10-document construction checklist builders use).

My Profile

Click My Profile to update your name, phone, or mailing address in a modal on your dashboard. To change your sign-in email, use the Edit Profile form's email field — a confirmation link is sent to your current email address (not the new one) to verify the change before it takes effect.
